Who we are
Sovereign Wealth Capital Limited ("we", "us") is a company registered in England and Wales, company number 10774779, with its registered office at Kingsland House, 39 Abbey Foregate, Shrewsbury SY2 6BL. We are the controller of the personal information described in this notice. You can contact us about it at info@sovcap.co.uk.
What information we collect
- Your name and contact details, such as your phone number and email address.
- Details of your tenancy, such as the property, the dates and the rent.
- Messages you send us by WhatsApp or email, including any photos, videos or documents you attach.
- Reports of repairs and maintenance, and the arrangements we make to deal with them.
- Records of payments you make to us.
How we use it
- To manage your tenancy and answer your messages.
- To arrange repairs, safety checks and inspections.
- To meet our legal duties as a landlord, such as safety certificates and deposit protection.
- To keep our accounts and records.
We do not sell your information, and we do not use your messages for marketing.
Our legal basis
We use your information because we need it to carry out your tenancy agreement, because the law requires it, or because we have a legitimate interest in running our business and keeping a record of what has been said and done.
WhatsApp messages
When you message us on WhatsApp, the message is delivered through the WhatsApp Business Platform, which is run by Meta. We use automated tools, including an AI service, to help us read incoming messages and photos and sort them (for example, a repair request or a rent question), so that each one reaches the right place quickly. You can ask for a person to deal with your message at any time.
Who we share it with
- Companies that provide the systems we use: Meta (WhatsApp messaging), Cloudflare (which receives WhatsApp messages on our behalf before we collect them), Microsoft (email), Anthropic (an AI service that helps us read and sort messages), Telegram (which we use to alert our team to urgent messages and to replies waiting for approval), Xero (accounting) and GitHub (which stores our encrypted backups).
- Contractors who carry out repairs at your home, who receive the details they need to do the work, such as your name, address and phone number.
- Letting agents, where an agent manages your property for us.
- Public bodies when the law requires it, such as tenancy deposit schemes, local councils and HM Revenue & Customs.
Information sent outside the UK
Some of these providers process information outside the UK, including in the United States. Where that happens, we rely on the safeguards UK data protection law requires, such as the UK-US data bridge or the Information Commissioner's international data transfer agreement.
How long we keep it
We keep tenancy information for as long as your tenancy lasts and for six years after it ends, so that we can meet our legal and accounting duties. If you contact us and you are not a tenant, we keep your messages only for as long as we need them to deal with your enquiry, and never for more than six years.
Your rights
You have the right to ask for a copy of your information, to have it corrected, to have it deleted, to limit how we use it, to object to how we use it, and to receive it in a format you can take elsewhere. To use any of these rights, email info@sovcap.co.uk. We will reply within one month. To ask us to delete your data, see how to ask us to delete your data.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
